Privacy Policy / Personal Information Collection Statement

This Privacy Policy and Personal Information Collection Statement (“PICS”) explains how Harmoneko Hong Kong Limited (“BeerMood,” “we,” “us,” or “our”) collects, holds, uses, and protects personal data in connection with the BeerMood website (beermoodhk.com), ticket sales, and our events, in compliance with the Personal Data (Privacy) Ordinance (Cap. 486) of the Laws of Hong Kong (“PDPO”).

1. Who We Are
BeerMood Festival is a brand and event owned and host by Harmoneko Hong Kong Limited.  

2. What Personal Data We Collect
Depending on how you interact with us, we may collect:

  • Contact details: name, email address, phone number
  • Ticket purchase and payment information: billing details processed through Stripe (we do not store your full card number)
  • Event attendance details: ticket type, session, quantity, attendee names (where required for entry/check-in)
  • Account information if you register on the site (username, password — stored securely)
  • Communications you send us (enquiries, feedback)
  • Technical and usage data collected automatically via cookies and similar technologies (IP address, browser type, pages visited, referral source) through Google Analytics and Meta Pixel
  • Marketing preferences if you subscribe to our mailing list 

We do not knowingly collect more personal data than is necessary for the purposes below.

3. Purposes of Collection
We collect and use personal data for:

  • Processing ticket purchases and payments
  • Event entry, check-in, and on-site management
  • Communicating with you about your order, event updates, schedule changes, or cancellations
  • Customer service and responding to enquiries
  • Marketing communications (only where you have subscribed or not opted out — see Section 8)
  • Website analytics and improving user experience
  • Compliance with legal obligations, including age-verification requirements related to alcohol service
  • Safety, security, and incident investigation on-site

4. Classes of Persons to Whom Data May Be Transferred
We may disclose personal data to:

  • **Stripe** (payment processing) — a global payment processor; data may be transferred and processed outside Hong Kong, including in jurisdictions with data protection standards that may differ from the PDPO
  • **Google Analytics (Google LLC)** — website analytics; data may be processed outside Hong Kong
  • **Meta Platforms, Inc.** (Meta Pixel) — advertising and analytics; data may be processed outside Hong Kong
  • **Intuit Inc.** — email marketing communications; data may be processed outside Hong Kong
  • Our hosting provider and IT service providers, for the operation of this website
  • Government authorities or law enforcement, where required by law
  • Professional advisors (legal, accounting) where necessary

We do not sell personal data to third parties. We take reasonable steps to require our service providers to protect personal data to a standard consistent with the PDPO, in line with guidance issued by the Office of the Privacy Commissioner for Personal Data (PCPD) on cross-border data transfers. Section 33 of the PDPO (which would formally restrict overseas transfers) has not yet been brought into force as of the date of this policy, but we follow PCPD’s recommended practices in the interim.

5. Cookies and Tracking Technologies
Our website uses cookies and similar technologies, including Google Analytics and Meta Pixel, to understand site usage and measure the effectiveness of our marketing. You can control cookies through your browser settings. Disabling cookies may affect some website functionality.

6. Data Retention
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law (for example, financial and tax record-keeping obligations). Ticket and order records are generally retained for **5 years** after the event for accounting, dispute-resolution, and safety-audit purposes, after which they are securely deleted or anonymised.

7. Data Security
We take practicable technical and organisational steps to protect personal data against unauthorised or accidental access, processing, erasure, loss, or use, including secure hosting, restricted access to personal data, and use of a reputable third-party payment processor (Stripe) so that we do not directly hold your full payment card details.

8. Direct Marketing
If you subscribe to our mailing list, we will only use your contact details for direct marketing with your consent. You may opt out of marketing communications at any time by:

  • Clicking “unsubscribe” in any marketing email, or
  • Emailing privacy@beermoodhk.com

We will cease using your data for direct marketing purposes promptly upon request, without charge.

9. Event Photography and Video
Our events may be photographed and/or filmed for use in future marketing, social media, and promotional materials. By attending, you acknowledge that you may appear in such recordings. If you do not wish to appear in promotional photography or video, please contact us at privacy@beermoodhk.com in advance of the event, or notify event staff on-site, and we will make reasonable efforts to accommodate your request; however, we cannot guarantee exclusion from wide-shot crowd photography/video where individuals are not the specific subject.

10. Minors
Certain event sessions are open to all ages, provided minors are accompanied and supervised by a parent or legal guardian at all times (see our Terms & Conditions for the full session-specific age policy). Where we collect data relating to a minor (for example, as part of an accompanying adult’s ticket booking), it is provided by, and is the responsibility of, the accompanying parent/guardian.

11. Your Rights — Access and Correction
Under the PDPO, you have the right to:

  • Request access to personal data we hold about you
  • Request correction of any inaccurate personal data

To exercise these rights, contact us at privacy@beermoodhk.com. We will respond to valid requests within 40 days, as required under the PDPO. We may charge a reasonable fee to cover the cost of complying with a data access request, as permitted under the Ordinance.

12. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be notified via the website.
